How do I send personalized job applications to many companies at once?

Updated October 29, 2026

Short answer

Build a sheet with one row per company: email, contact name, company, role and one line about why you want to work there. Write one email with tags for those columns, attach your résumé, and send with a mail merge tool. Each company gets its own email from your Gmail, and you can follow up automatically with anyone who has not replied.

john@example.comJohnExample LabsBI analyst

In the email: “I’d love to join {{Company}} as a {{Role}}. {{#if Why}}I was drawn to {{Why}}.{{else}}I’ve followed your team’s work for a while.{{/if}}” The conditional text means a blank Why cell still reads well.

Steps in Mergeline

  1. Paste the sheet link or drop the file in.
  2. Write the email and subject with tags. Mergeline can put tags in the subject too, like “Application: {{Role}}”.
  3. With Pro, attach your résumé PDF. It goes with the first email only.
  4. Preview every row. With a job search, each one matters.
  5. Send. The free plan covers 60 a day.

Quality over volume

A Reddit thread on this exact question warns against blasting hundreds of identical emails. Twenty well-researched companies a day beats two hundred generic ones. Use the Why column for something specific: a product, a recent post, a person you met.

Some job seekers also reply to rejection emails to ask to be kept in mind for future roles. A short, polite merge to those contacts a few months later can reopen doors.

Track what happens

Add Status and Date columns to the sheet. When a reply comes in, mark it. Mergeline’s report shows who replied and who bounced, and you can export it as CSV to paste back into your tracker. After a few weeks you will see which kinds of companies answer, and you can aim the next batch better.
