Can I send a different attachment to each recipient in a Gmail mail merge?
Updated October 29, 2026
Not with a normal attachment field in most Gmail mail merge tools, including Mergeline, which sends the same files to everyone. The reliable way is a per-person link: upload each file to Google Drive, share it with that person, and put the link in a sheet column such as {{FileLink}}. For a short list, create personal drafts and attach each file by hand.
Why this is harder than it looks
People ask for this all the time: “send an email to 200 people with a unique pdf attachment”, as one Reddit post puts it. Invoices, tickets and certificates all need it. Most mail merge tools treat attachments as part of the template, so every copy gets the same file.
Mergeline works the same way. With Pro you can add files up to 15 MB in total, and they go with the first email to everyone. Follow-ups do not repeat them.
Three ways that work
- A link column. Put each file in Google Drive, share it with that person’s address, and paste the link into a column named FileLink. In the email write “Your ticket: {{FileLink}}”. Each person sees only their own link, and sharing by address means a forwarded link does not open for anyone else.
- Personal drafts. Mergeline Pro can create one personalized draft per person in Gmail instead of sending. Open each draft, attach the right file, read it once more and press send. This suits lists of about 20 to 50 people.
- A script. Google Apps Script can look up a Drive file for each row and attach it. It is free, but you write and test the code yourself.
Tips before you send
- Name files after the person or ID, like “INV-1042 John Doe.pdf”, so mistakes are easy to spot.
- Send yourself a test first and click the link from a different account.
- Keep your daily volume inside Gmail’s sending limit, since each email still counts.
Keep it private
Per-person files often hold names, amounts or grades. Share each file only with its owner, not with “anyone with the link”, and double-check that row 12 points to file 12.
