How do I send one email to multiple recipients individually in Gmail?
Updated October 29, 2026
Gmail has no “send separately” switch for a normal email. To give each person their own copy, use mail merge: Google’s built-in mail merge on eligible Workspace plans, or an extension. With Mergeline you can write to several people in Gmail as usual, press the Mergeline button next to Send, and each person gets a separate email addressed only to them.
Why Gmail does not do this by default
When you put five addresses in To, Gmail sends one message that all five can see and reply to. Bcc hides the addresses, but it is still one message with one greeting for everybody. That is exactly what one Reddit poster wanted to avoid: “Everything is exactly the same except for the email. ... not to BCC.”
The quick way inside Gmail
- Install Mergeline and open Gmail.
- Compose a new email and add everyone in the To field.
- Write the email. Use {{FirstName|there}} if you want each greeting to use the person’s name.
- Press the Mergeline button next to Send instead of Send.
- Each person gets their own copy, and each copy shows up in your Sent folder as a separate conversation.
This works on free Gmail accounts too. The free plan covers up to 60 emails a day.
For a longer list
If the list lives in a spreadsheet, import the file or paste the Google Sheets link instead of typing addresses. Each column becomes a tag you can use. Google’s own mail merge also sends separate copies, but only on some Workspace plans, and it allows just one Cc or Bcc address. See which plans include it.
Why separate copies help
- Replies come back to you alone, not to the whole group.
- Nobody sees anyone else’s address.
- You can follow up with each person in their own thread.
Before you press the button
Check the To field once more. Every address in it gets its own email, so remove anyone who should not get it, like a colleague you added for a quick look. Send one test to yourself first to see how the greeting reads.
