Can you mail merge in Gmail?
Updated October 29, 2026
Yes. Gmail has a built-in mail merge, but only on some paid Google Workspace plans, and it sends to up to 1,500 mail merge recipients a day. On a free Gmail account you need a Sheets add-on, a Chrome extension like Mergeline, or your own script. Every option sends each person a separate copy with their details filled in.
Your four options
| Option | Who can use it | Good to know |
|---|---|---|
| Gmail’s built-in mail merge | Workspace Individual, Business Standard and Plus, Enterprise Standard and Plus, Education Standard and Plus | Up to 1,500 mail merge recipients a day. No merge tags in the subject and no follow-ups. |
| A Google Sheets add-on | Any Google account | YAMM’s free plan sends 20 emails a day. Add-ons keep some campaign data on their own servers. |
| A Chrome extension | Any Gmail or Workspace account | Mergeline is free for 60 emails a day and keeps your list in your browser. |
| Google Apps Script | People who can edit code | Free, but you write, fix and maintain the script yourself. |
All four send through your own Gmail account, so Gmail’s own daily sending limit still applies. See how many emails Gmail lets you send a day.
How the built-in option works
If your plan includes it, you turn on mail merge in a new email, add people or pick a Google Sheet, and insert tags such as @firstname. Google adds an unsubscribe link to each email for you. The sheet data has to sit in the first tab, and the feature can’t be used with schedule send, reply or forward.
If you are on Business Starter or a free account, the button will not show up. That is the most common surprise people report.
How Mergeline does it
- Add your list: paste addresses, drop a CSV or Excel file, or paste a Google Sheets link.
- Write one email with tags like {{FirstName|there}}. The part after the bar is used when a cell is empty.
- Preview the exact email each person will get.
- Press send. Each email goes out from your Gmail at a steady pace and shows up in your Sent folder.
It works in Chrome, Edge and Brave with any Gmail or Workspace account, including plans that do not have Google’s button.
Which one should you pick?
If your company already pays for an eligible Workspace plan and you send plain updates, try Google’s button first. It costs nothing extra. If you are on a free account or Business Starter, or you need tags in the subject or follow-ups, use an extension or add-on.
